Inviting contributors.

By the Symphony Team May 2026 3 min read

Adding teammates to a Symphony workbook takes about a minute. Here's what happens on your end, on their end, and what to check before you send.

Before you invite

Decide two things:

  • Which worksheets does each person get? If you're using the worksheet-per-owner pattern, each contributor gets their own worksheet. If you're using the row-per-owner pattern, they share a worksheet with row-level ownership. Both patterns are supported.
  • Do they need edit or read-only access? Most contributors need edit. Some observers (executives, adjacent departments) may just need to Refresh and see the current state.

Sending the invite

Open the workbook. Click Invite on the Symphony ribbon. Enter one or more email addresses (comma-separated, or one per line). Add a short note if you want — the invitees will see it in their invitation email.

Symphony sends each invitee an email with:

  • Your name and the workbook you're inviting them to
  • Your optional note
  • A Join link that takes them to their account setup
  • A link to download the Symphony add-in for Excel

What the invitee does

When your invitee clicks Join, they land on a Symphony page that shows the account name they're joining. They click Join to accept. If they don't have Symphony installed yet, they're prompted to download the add-in. If they've never set a password, they're walked through creating one.

Once they're set up, they open the shared workbook in Excel. The Symphony ribbon shows them which worksheet is theirs. They start working — privately, on their own schedule — until they're ready to Submit.

Managing seats

The Account Management console shows all users on your account, their status (Active or Inactive), and lets you Deactivate anyone who's leaving or reassign their access to someone new.

Deactivating a user doesn't remove them from your list — they move to the bottom, and their access is revoked. If they come back later, click Reactivate and their access is restored.

You can also Send Invite from the console — useful for re-sending a lost invitation email or nudging someone who hasn't accepted yet.
